Late Pick-Up Policy

Introduction

At ChatterBox, we are committed to providing a safe and nurturing environment for your children during our therapy sessions (Individual, Core and Holiday Programs). To maintain the quality of our services and ensure the safety of all participants, we have implemented a Late Pick-Up Policy. This policy outlines the procedures and associated costs for parents/guardians who arrive late to pick up their children.

Policy Statement

We understand that unforeseen circumstances may occasionally cause delays in your schedule. However, it is essential to prioritize punctuality to maintain the efficiency and safety of our programs.

Late Pick-Up Charges

Effective immediately, a late pick-up fee will be applied if parents or guardians do not collect their children on time from our therapy sessions. The late pick-up charges are as follows:

First 15 Minutes: There will be no charge for the first 15 minutes after the session’s scheduled end time.

16 to 30 Minutes: A fee of ½x applicable rate will be applied for late pick-ups between 16 and 30 minutes past the scheduled end time.

31 to 60 Minutes: A fee of 1x applicable rate will be applied for late pick-ups between 31 and 60 minutes past the scheduled end time.

Over 60 Minutes: A fee of 2x applicable rate will be applied for late pick-ups exceeding 60 minutes past the scheduled end time. In such cases, we may contact local authorities if the child's safety and well-being are a concern.

Neither reception staff nor your child’s therapist have the authority to waive a late pick-up fee.

Notification Process

  • Parents or guardians will receive a notice or reminder about our Late Pick-Up Policy.

  • Every effort will be ensured to advise/remind you of the pick-up time.

  • Parents or guardians who anticipate being late should notify reception staff, as soon as possible to make appropriate arrangements.

Reasons for Implementing a Late Pick-Up Fee Policy

Charging for late pick-up from Therapy Sessions for several important reasons:

Operational Efficiency: Implementing a late pick-up policy helps maintain the smooth operation of therapy sessions. It ensures that staff can leave on time and prepares the facility for the next day's activities.

Child Safety: Prompt pick-up is essential to safeguard the well-being and safety of children. Staff members are responsible for supervising children during program hours, and prolonged supervision due to late pick-ups can strain resources and potentially compromise child safety.

Staff Consistency: Consistent late pick-ups can be disruptive and demotivating for staff members. It can lead to frustration and burnout among employees who are required to stay late without notice.

Fairness to Other Parents: Enforcing a late pick-up policy ensures fairness to all parents and guardians. It prevents a situation where some parents consistently abuse the system, causing inconvenience to others.

Resource Allocation: Late pick-ups can result in additional expenses, such as overtime pay for staff and additional operational costs (e.g., utilities). Charging for late pick-ups helps cover these extra expenses.

Accountability: Implementing a fee structure for late pick-ups encourages parents and guardians to be accountable for their scheduled pick-up times. It reinforces the importance of respecting program hours.

Teaching Responsibility: Enforcing a late pick-up policy can also serve as a valuable lesson for children. It teaches them the importance of punctuality and consideration for others.

Program Integrity: Maintaining a punctual schedule is vital for the integrity of the Core and Holiday Programs. It ensures that planned activities are conducted as scheduled and that children receive the full benefit of the program.

Parental Awareness: The imposition of late pick-up charges serves as a reminder to parents and guardians about the importance of punctuality and planning ahead for unexpected delays.

Sustainability: Effective program management, including adhering to pick-up times, contributes to the long-term sustainability of the Therapy Sessions by ensuring their efficient operation.

In summary, charging for late pick-up is essential to maintain the quality, safety, and fairness of Therapy Sessions while encouraging accountability and punctuality among parents and guardians. It allows programs to run smoothly, protect children, and allocate resources effectively.
